Job Opportunity: Club Administrator

An exciting opportunity has arisen for a Club Administrator to join the team on a part-time basis at Wakefield AFC. This position will be part-time, 16 hours per week and will include a number of administrative duties. As the Club Administrator the successful applicant will play a key part in the day to day running and efficient functioning of the Club. This will include supporting other Club members with administrative tasks, contributing to the recruitment processes of staff, volunteers and players and liaising with other Clubs and organisations including the FA. The successful applicant will also support with financial matters such as organisation of direct debits and payment of Club fines.

Hours: 16 hours per week (includes 3 hours on a Saturday and occasional evening work)

Location: Flexible – The majority of the work can be undertaken from home. Occasional attendance will be required at the Club office in Barnsley and at relevant meeting venues.

Salary: £7900

Annual Leave: 20 days plus bank holidays

Qualifications

Essential:

Four GCSE’s (A-C) including English and Maths or equivalent qualifications

Knowledge

Essential:

Experience and in-depth knowledge of Microsoft software (Word, Excel, Powerpoint, Publisher)

Desirable:

Knowledge of how to use Whole Game System

Knowledge of how to use the Sport Lomo System

Knowledge of how to create e-forms

Knowledge of how to use various social media platforms including Facebook and Instagram

Competencies

Essential:

Good numerical, written and verbal communication skills

Ability to take formal meeting minutes

Strong organisational skills and ability to prioritise work and meet tight deadlines

Ability to work independently and as part of a team

Experience

Essential:

Experience of liaising with different agencies/organisations

Desirable:

Experience of submitting funding applications

Attendance at AGM’s or similar

The successful applicant will be required to:

– create an online account with the FA and create a FAN number.

– undergo a DBS check.

– Participate in relevant training including safeguarding

– Undertake some tasks (outlined below) on matchdays, including Saturdays

– Attend occasional meetings on an evening

Role Overview:

Responding to enquiries regarding all aspects of the Club and/or redirecting these to the appropriate Club member.

Supporting staff/volunteer recruitment processes within the Club

Supporting player recruitment processes within the Club

Creating and monitoring training registers.

Registrations of players and their parents on the Whole Game System/ Sport Lomo/JPL system.

Checking registrations for international clearance requirements and making applications where necessary, through the national FA registrations team

Communication with home venues and both leagues over fixtures to check availability.

Liaising with opposition teams at least 3 days before every game to agree kit colours, ground and game details.

Sourcing and arranging referees for JPL home matches

Arranging for team sheets to be filled in and a copy to the opposition and match day referee 30 mins before kick-off (includes Saturdays)

Submitting full time 1st team and U23’s score and scorers to the league within 2 hrs of a match being completed (includes Saturdays)

Uploading the 1st team and U23’s team sheet, substitutions, cards, referee on the full time FA system with 3 days of a match completed.

Acknowledging and processing of cards and fines via the Whole Game System U8- 1st team.

Attending relevant AGM and other meetings as and when required.

Ensuring the Club has affiliation in place with WRFA.

Ensuring the Club is insured across all teams and staff.

Keeping the Club accredited as part of the England accredited football scheme.

Applying for relevant funding throughout the season via the likes of the Football Foundation.
